Centralized User Guide

This guide outlines the most common features used by users with centralized access, which is access directly to aPlus+ rather than through a LMS course.

This guide is aimed at users who are likely to be managing students attendance from a centralized standpoint. Financial Aid, Department Heads, Attendance Offices, Student Success/Retention.

Accessing the Attend HE Admin Portal

To access the admin portal please navigate to:

https://<Customer>.aplusattendance.com

This system will use your Canvas authentication, if you are not already logged into Canvas then you will be asked to.

Home Page and Navigation

You will see any courses you are assigned on the left (this will only have classes in it if you are also an instructors for those classes.

Recent Courses in the middle for any courses you have recently viewed, and below that, recent students.

The Quick Find is the fastest way to find a student or course.

Viewing or Altering Attendance for a Student

Using the Quick find or the Student Search (Students -> Find Student).

Once on the Student Profile view, change to the Attendance Tab, then open the timetable view. (marked in red)

This should show you the student’s full timetable. If it appears to have sessions missing, please check the date range (circled in blue)

To edit or set the attendance for a single session, find the session in the calendar. Click on it, and you can then modify the attendance and/or comment. Instructors will see these changes reflected in their view via Canvas.

To edit or set the attendance for multiple sessions

Select “Set Multiple”

This allows you to mark a student’s attendance for a date range for one, some, or all of their courses.

There is a checkbox at the bottom that allows you to overwrite any other attendance that may already be set. If a student had been marked with any attendance already for the date range, and you would like that overwritten, then this should be selected.

When using automated student notifications. A record is kept of what notifications were sent.

Viewing a Course

Courses can be found using the Quick find or the Course search in the navigation bar (Course -> Course List)

If using the Course List, take care to make sure you have the correct subaccount selected on the right. This view also requires that you select a qualification. For a canvas integrated implementation, this will typically be the subaccount and year.

If you do not see the courses that you expect, please check the checkboxes along the top. You may find that a course is not yet active, or has no student enrolled just yet.

Opening a course will show you the available sections (if the course has sections). If it does not have sections, then you will not see this screen.

The course will then show in the same view that instructors will see in the Canvas LTI.

This can be helpful for corroborating anything that an instructor is reporting. For example, if they note that a student is in the wrong section, or the session times are wrong.

In brief,

  • Sessions can be opened for attendance modification by selecting the column header (marked in red)
  • The Section can be changed using the dropdown box at the top left (marked in blue)
  • A calendar view can be opened by selecting sessions (marked in green)

Setting Student Cards (if applicable and not automated)

Using the Quick find or the Student Search (Students -> Find Student).

Enter the tag that should be registered to the student. This is the number that is coming off the card when their card is scanned.
